Start with a clear specification
A procurement process is only as good as its specification. Define technical requirements, quantities, standards, acceptable alternatives and documentation needed, ideally in a bill of quantities (BOQ).
Compare like with like
Request offers on the same basis: equipment model and datasheets, warranty terms, delivery time, packaging, transport, commissioning support and spare parts. Differences in these items often explain large price gaps.
Plan logistics early
Lead times for major equipment can affect the whole project schedule. Agree on delivery phases, site access, storage and handling of heavy units before placing orders.
Tenders and documentation
Public and institutional tenders require complete, compliant documentation: technical compliance tables, certificates, declarations and commercial terms. A supplier experienced in tender responses helps avoid exclusions on formal grounds.
